GDPR (General Data Protection Legislation) legislation came into effect on 25th May 2018.  Effectively it sets out a number of rules that we have to adhere to with regards how we handle and store your personal data.

Here at instaDIGITAL (which by the way is a trading name of Eagle Eye Technology Limited) we collect and process information about you, including information that directly or indirectly identifies you, if you choose to share it with instaDIGITAL. We receive information in a few different ways, including when you contact us, use the instaDIGITAL platform or when we have met you at trade shows. 

We have always handled your personal data with the utmost security and respect. We have been registered with the Data Protection Register since 2004 and believe that the introduction of the GDPR legislation is fantastic and firmly puts you in charge of your data.

Now let us tell you what data we collect and why, along with an overview of your rights…

What data do we collect and why?

We collect contact information such as your email address, name and telephone number that helps secure and provide you with access to our platform (if you have chosen to do so) along with keeping you up to date with information about us and our services.

We collect other data from time to time to help us provide you with improved products and services – for example when we ask you to fill in a survey or questionnaire.

Sometimes we also use cookies and small files that we put on your devices so that we can recognise you when you return to visit us, so that we can give you a more personalised experience and do things like remember that you are logged in to a service.

How long will we retain your information?

As long as you say that you are interested in our services or are a customer of the service we will hold onto your data.  After you have chosen to leave the service we will depersonalize your data within the system within 14 days.

This means that we still retain the data that you generated (for reporting purposes), but there is no longer any way to tie it back to you (for example we would no longer hold your email address, phone number or even your ip address).

The positive side of this is that your personal information is not sat on our servers if we no longer have any need for it.

The negative side of this is that once you close your account we will not be able to reopen it, rather a new account will have to be created and all your previous data will be lost.

Sharing your information

We will only share your information with Third Parties who require pieces of information to carry out their tasks to help us perform our duties in running the service that you have agreed to have provided to you. 

We will only share the minimum amount of data required for the Third Party to carry out their tasks.
We will not share data with any other companies.

All Third Parties handling your data operate under the terms of the GDPR and associated or subsequent legislation.

Right to Rectification

If you find any of the personal data that we hold about you to be incorrect then you have the right to request that we rectify the incorrect data and we must update that information within the legislated time.

Right to data access and data portability

Upon request and proof of identity we will provide you with all the personal data that you have shared with us, in a standard, digital format (e.g. Excel, CSV, Word, PDF).

Upon proof of identity we will provide you this information within the legislated time.

Right to withdraw consent and to restrict processing

You have the right to ask us not to process your data at any time.  In this instance, due to the nature of our system and the critical nature of the personal data to the system as a whole we will unfortunately not be able to continue to provide you with the service.

If this occurs, then we will depersonalize your data within the system within the legislated time and unfortunately you will no longer be able to use the service.

But you can contact us at any time to come back on board - we would love to have you :)

Right to be forgotten

You have the right to be forgotten by our systems.

Upon request and proof of identity we will depersonalize your data within the system within the legislated time.

Again this is great for you because it means that bits of your personal data are not sat on our servers if you don't want us to have it (it is your data after all!)

But on the down side if you change your mind, whilst we will welcome you back with open arms, all your old data will be lost.
